We search, screen and qualify sites for your conference or business meeting, which allows you more time for the other important tasks you need to accomplish. We gather the data and recommend to you the hotels or resorts which offer the best value for your conference or business meeting.

But, you always maintain a direct relationship with the hotel, resort or other venue you choose for your conference or business meeting. And the hotel or resort always respects your identity and the contribution of your organization to their success.

There is no contract to sign for RBC Travel Management’s site finding services. Your organization’s engagement of our services is voluntary. And our continued engagement by your organization is dependent only upon your satisfaction of the services we render.

We act simply to expedite these communications, and retire when the contract between the conference venue and your organization is executed; unless you otherwise need our continuing services.

We present to you, in an orderly format, those sites which meet the qualifications you set forth for your conference or business meeting.

We conduct a due diligence survey of previous users, to determine their level of satisfaction with the hotel, resort or venue you selected, as finalists for your conference or business meeting.

We arrange optional site inspection visits to the hotels, resorts or venues you selected, as finalists for your conference or business meeting.

We assist with the negotiations, and review the proposed contractual arrangements, between the selected hotel, resort or other venue and your organization; to include such provisions as the Guestroom Block; Program of Events; Attrition and Cancellation, and; other provisions which may affect the outcome of your planned conference or business meeting.
